Privacy Policy
Your price book, your rates, and your customer list are the most sensitive things a contractor owns. Here is exactly what we do with them, in plain words.

Who we are
Inveasy builds invoicing software for the trades. You describe the work you did in plain words, our software matches it against your own price book, and a finished invoice comes out. This policy explains what we collect while that happens, why we collect it, and what we will and will not do with it.
"We", "us" and "our" mean Inveasy. "You" means the person or business using the service. This policy covers our website and our web application.
Information we collect
We collect the following, and only the following.
Account information
Your name, business name, email address, and phone number. If you sign in through a third-party provider such as Google, we receive your name, email address, and profile image from that provider. We never receive your password.
Business and letterhead information
The details that appear on the invoices you send: your business address, license number, logo, payment terms, and tax registration details. You give us these so we can put them on the page.
Your price book
The services you offer and what you charge for them. You can enter this by hand or build it from invoices you have already sent, which you upload to us. Anything you upload for this purpose may contain your own internal pricing notes, and we treat the whole of it as confidential business information.
Your customers' information
Names, addresses, phone numbers, email addresses, and job site details for the customers you invoice. You control this data; we process it on your behalf so that we can produce and, where you ask us to, deliver the invoice. If you are in a jurisdiction that uses these terms, you are the controller of your customers' personal data and we are your processor.
What you say and type
The descriptions of work you write or dictate in the composer, and the answers you give when the software asks a follow-up question. If you use voice input, we process the recording to turn it into text.
The invoices you produce
Line items, quantities, rates, totals, dates, invoice numbers, and status. We store these so your invoice history is there when you come back and so you can send the same customer another one.
Usage information
Standard technical and product analytics: pages viewed, features used, approximate location derived from your IP address, browser and device type, and error reports. We use this to find what is broken and what is confusing.
Payment information
If you subscribe to a paid plan, our payment processor collects and stores your card details. We do not see or store full card numbers. We keep a record of your plan, your billing history, and the last four digits of the card.
Support communications
Anything you send us by email or through in-product support, along with our replies.
How we use your information
We use what we collect to:
- Run the service: build your invoices, hold your price book, keep your invoice history, and deliver invoices to the customers you send them to.
- Learn your pricing, so the next invoice needs less correcting than the last one. This happens inside your own account and affects only your account.
- Charge you, if you are on a paid plan, and handle refunds and failed payments.
- Support you when you write in, including looking at a specific invoice you are asking about.
- Keep the service secure: detect fraud, abuse, and unauthorized access.
- Improve the product in aggregate, using usage patterns rather than the contents of your invoices.
- Meet our legal, tax, and accounting obligations.
We do not sell your personal information, and we do not sell or share your price book, your rates, your customer list, or your invoice history with anyone. We do not use them for advertising, and we do not build profiles of you for advertisers.
AI and how your words become an invoice
The core of this product is a language model, so it is worth being exact about what it touches and what it is allowed to do.
When you describe a job, we send that description, together with the parts of your price book we need to match it against, to our AI provider. Today that provider is Anthropic. The model reads your description and returns which items were done, how many of each, and which rate from your price book applies. That is all it returns.
The model does not do the arithmetic, and it is not permitted to invent a price. Every total on your invoice is calculated by our own code from rates that came out of your price book and quantities that came out of what you said. If anything is uncertain, the invoice shows a blank and asks you, rather than filling in a guess.
Our AI provider processes this data to return a result to us and under contract does not use it to train their models. We do not use your invoices, your price book, or your customers' details to train any general-purpose AI model, ours or anyone else's.
How long we keep it
We keep your account information, price book, and invoice history for as long as your account is open, because that is the product. Invoices in particular are business records you may need years from now, so we do not quietly age them out.
If you delete your account, we delete your personal information and your business data within 30 days, except where we have to keep something longer: billing and tax records we are legally required to retain, and backups, which are overwritten on a rolling schedule of no more than 90 days. Aggregated statistics that can no longer be linked to you or your business may be kept indefinitely.
How we protect it
Data is encrypted in transit with TLS and encrypted at rest. Access to production data is limited to the people who need it to operate the service and is logged. Each account's data is isolated at the database level, so one customer's price book is not reachable from another customer's session.
No system is perfectly secure, and we will not tell you otherwise. If a breach affects your personal information we will notify you and, where required, the relevant regulator, without undue delay.
Your rights and choices
Depending on where you live, you may have some or all of the following rights. We extend them to everyone who asks, regardless of where they live.
- Access: get a copy of the personal information we hold about you.
- Correction: fix anything that is wrong. Most of this you can do yourself in the product.
- Deletion: ask us to delete your account and the data in it.
- Portability: export your price book and your invoices in a machine-readable format.
- Objection and restriction: ask us to stop or limit certain processing.
- Withdraw consent: where we rely on consent, withdraw it at any time, without affecting what we did before you withdrew it.
To exercise any of these, email privacy@inveasy.app. We will verify who you are and respond within 30 days, or tell you why we need longer. We will not charge you for this and we will not treat you differently for asking.
If your personal information is in our system because a contractor invoiced you, contact that contractor first. They control that data. If you cannot reach them, contact us and we will help.
Children's privacy
This is a tool for running a business, and it is not directed at children. We do not knowingly collect personal information from anyone under 16. If we learn that we have, we delete it. If you believe a child has given us information, write to us and we will remove it.
International data transfers
We operate in the United States, and our service providers may process data in the United States and other countries. If you use the service from outside the United States, your information will be transferred to and stored in the United States, where privacy laws may differ from those in your country.
Where we transfer personal data out of the European Economic Area, the United Kingdom, or Switzerland, we rely on the European Commission's Standard Contractual Clauses or another approved transfer mechanism.
Changes to this policy
We will update this policy as the product changes. When we do, we will change the effective date at the top. If the change is material, meaning it affects what we collect, who we share it with, or what we use it for, we will tell you by email or in the product at least 30 days before it takes effect.
